The PTSA is seeking a 5K Chair.This role could be split by two people. A committee of volunteers can be recruited as well, to lighten the load. This is a critical position for this long-standing race in West Seattle.
We have a complete manual with instructions on tasks and schedule. We hire a event coordinator that takes care of permits, distribution of some advertising material and sets up the race area on the race day (this has already happened for the 2017 race).
The Chair and committee of volunteers solicit sponsorships, keep the 5K update website updated, post to Facebook, and the mail in registration forms.
The chair will be responsible for setting up an online registration, advertising the event in free and paid media, create advertising material (race rack cards, newspaper, magazine ads along with a poster), design and print t-shirts, arrange vendors for the race including the timing company, emcee, and sound system (these vendors have been working with us for many years),
The committee will host a registration party a few weeks before the event, arrange prizes for the winners, put out a call for volunteers on race day, and arrange students to stuff sponsor bags.
The day of the event duties include organizing the volunteers, setting up credit card readers (PayPal) to take day-of-race registration, organizing vendors, distributing prizes to the winners, overseeing a cleanup of the area and updating the website with the winners of the race.
The role comes with already created contracts for the sponsors.
A transfer of files, material, and knowledge is readily available along with any consultation that might be needed from former race chair, Jeff Mensing.
